 1. Introduction

 GPS Talent Solutions Ltd (trading as GPS Return) is a recruitment agency assisting parents to return to work following a career break.  Our aim is to give candidates all the advice, confidence and encouragement they need to return to work and to ultimately find the right job. Not only do we provide personalised advice, we also run workshops and provide coaching on a range of topics, all designed to help candidates go back to work.  In addition, GPS Return works with employers to educate them on the benefits of hiring returning parents and how promoting a flexible work environment is a win-win for everyone.

We take our duty to process your personal data very seriously. This policy explains how we collect, manage, use and protect any information we collect about you to ensure you remain informed and in control of your information.

In this policy references to GPS Return, or to ‘we’ and ‘us’ are to GPS Talent Solutions Limited, a company registered in England and Wales with company number 10408175.

 

2. What information we collect

GPS Return is what’s known as the ‘controller’ of the personal data you provide to us. We may need to collect and process basic personal information about you (including but not restricted to your name, e-mail address, postal address and telephone number), along with details of your current and previous employment history, education and training.  We may collect information which is relevant to customer surveys and/or offers. 

We may also collect sensitive data relating to you, including medical details, criminal offences or proceedings and details of race and ethnic origin.  If we do collect such sensitive data, we will be very clear with you that we wished to collect such information, our reason for collecting such information, and that we would only do so with your specific consent and permission. We’ll also take extra care to ensure your privacy rights are protected. 

We may receive your personal data through our website or via one of our consultants.  Although it is not compulsory to give us every item of information we ask for, the more accurate information you volunteer, the better service we can provide.

 

3. How we collect your information

We collect information about you when you enquire about using any of our services or as part of us providing you with our services.  We collect your personal information in a number of ways:

  • when you provide it to us directly.

  • when we collect it as you use our website. Please see our Cookie Notice for details.

  • when you provide permission to other organisations to share it with us (including Facebook or Twitter).

  • from publicly available sources to keep your information up to date (e.g. from Companies House, news or other media)

 

4. How we use your information

We require this information to understand your needs and provide you with a better service and in particular for the following reasons:

  • to provide our recruitment services to you and to facilitate the recruitment process;

  • to assess data about you against vacancies which we judge may be suitable for you;

  • to send your information to clients in order to apply for jobs or to assess your eligibility for jobs;

  • to enable you to submit your Curriculum Vitae, apply online for jobs, or to subscribe to alerts about jobs we think may be of interest to you;

  • to market our full range of recruitment services to you (permanent, temporary, contract, and recruitment process outsourcing services);

  • to enable us to develop and market other products and services and to improve our customer service and to make our services more valuable to you (including tailoring our website and our group companies’ websites when you log on, to improve your personal online experience);

  • to send you details of reports, promotions, offers, networking and client events and general information about the industry sectors which we think might be of interest to you;

  • to answer your questions and enquiries;

  • to obtain from third parties, where we have retained them to provide services that you or our client have requested, such references, qualifications and criminal reference checking services, to verify the details you have provided;

  • to provide to third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business systems, research and mailing houses and outsourcing partners;

  • to provide to regulatory or law enforcement agencies if we believe in good faith that we are required by law to disclose it in connection with the detection of crime, the collection of taxes or duties in order to comply with any applicable law or order of a court of competent jurisdiction, or in connection with legal proceedings;

  • to use your information on an anonymised basis to monitor compliance with our equal opportunities policy;

  • internal record keeping.  Please see section 6.1 (Retention) below.

When you receive a communication, we may collect information about how you respond to or interact with that communication, and this may affect your communication preferences.

5. Sharing your information

We only disclose information to third parties or individuals in the following circumstances:

  • when obliged to by law, for purposes of national security, taxation and criminal investigations;

  • if you have agreed that we may do so;

  • when we use other companies to provide services on our behalf;

  • if we receive a complaint about any content you have posted or transmitted to or from one of our sites;

  • to enforce or apply our Terms of Business;

  • if we believe that we need to do so to protect and defend the rights, property or personal safety of GPS Return, our website or our visitors and for other lawful purposes.

We reserve the right to transfer your information to a third party in the event of a sale, merger, liquidation, receivership or transfer of all or substantially all of the assets of our company provided that the third party agrees to adhere to the terms of this Privacy Policy and provided that the third party only uses your personal data for the purposes that you provided it to us. You will be notified in the event of any such transfer and you will be afforded an opportunity to give your consent to the sharing of your personal data in this context.

We will never sell or rent your personal information to other organisations.

 

6. How we store and retain your information securely

6.1   Retention

We hold your information only as long as necessary for each purpose we use it.  We regularly review what information we hold and delete what is no longer required.

If you decide not to use our services, or request that we have no further contact with you, we will keep some basic information in order to avoid sending you unwanted materials in the future and to ensure that we don’t accidentally duplicate information.

6.2 Security of information we store and transfer

All information you provide to us is stored on secured servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website or Service, you are responsible for keeping this password confidential. We ask you not to share a password with anyone. It is important for you to protect against unauthorised access to your password and to your computer, so we advise that you sign off when you have finished using a shared computer and strongly recommend that you do not use the browser’s password memory function as that would permit other people using your Device to access your personal data.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website/Service and any transmission is at your own risk.

Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access however, we cannot guarantee the security of such information. To the fullest extent permitted by law, we disclaim all liability and responsibility for any damages you may suffer due to any loss, unauthorised access, misuse or alterations of any information you submit to the website or our Service.

7. Overseas disclosure

The data that we collect from you may be transferred to, and stored at, a destination outside the UK, European Economic Area ("EEA"), Australia or New Zealand that does not have a similar standard of protection to the UK, EEA, Australia, or New Zealand. It may also be processed by staff operating outside these areas who work for the Applicant Tracking System we use (JobAdder.com) or for one of their suppliers. Such staff may be engaged in, among other things, the fulfilment of any order and the provision of support services. This may include the transfer or disclosure of your information to other jurisdictions including but not limited to the United States and Canada.

Both JobAdder and ourselves will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

 

8. Keeping you in control

 We want to ensure you remain in control of your personal data. The new General Data Protection Regulations (GDPR), which are being brought into force in May 2018, give everyone a number of very important rights. These include:

  • the right to ask us to remove your personal data from our records (though this will not apply where it is necessary for us to continue to use the data for a lawful reason);

  • the right to have inaccurate data rectified;

  • the right to request a copy of the information we hold about you;

  • the right to ask us to stop using your information for marketing or profiling;

  • where technically feasible, the right to obtain and reuse your personal data for your own purposes.

Remember, you can change the way you hear from us or withdraw your permission for us to process your personal data at any time by using the contact details in section 4 above.

 

9. Cookies and Website

We use traffic log cookies to identify which pages of our website are being used. This helps us analyse data about webpage traffic and improve our website in order to tailor it to customer needs. 10. Changes to the Privacy Policy

We will amend this Privacy Policy from time to time to ensure it remains up-to-date and accurately reflects how and why we use your personal data. The current version of our Privacy Policy will always be posted on our website.
